Privacy
Last updated: 27 October 2026
This notice explains how we process the personal data of people who visit bastardini.eu and use its forms and newsletter. It is provided under Articles 13 and 14 of Regulation (EU) 2016/679 (GDPR) and the Italian Privacy Code (Legislative Decree 196/2003, as amended by Legislative Decree 101/2018).
1. Who processes your data
The data controller is Open Event srl, with registered office at via Camillo Casarini 19, 40131 Bologna, Italy, tax code and VAT no. 03790311207, which runs the Bastardini project at via d'Azeglio 41, 40123 Bologna.
For any privacy question, you can write to info@bastardini.eu or call +39 051 049 3742.
2. What data we collect
Browsing data. When you visit the site, the servers that host it automatically record some technical data: IP address, browser and device type, pages visited, date and time. This data is used to run the site, keep it secure and find out, in aggregate form, how many people visit it.
Data you give us:
– through the form on the Contact page: name, email and message;
– through the «Host your event» form: full name, email, phone, company or organisation, type of event, space, preferred date, number of guests and the message describing your idea;
– when you sign up to the newsletter: your email address.
Please do not include in your messages any data that is not needed for your request, especially health data or other special categories of data.
Your cookie choices, recorded by the banner (see the Cookie policy).
3. Why we use your data and for how long
– Running and protecting the site. We use browsing data on the basis of our legitimate interest (Art. 6(1)(f) GDPR). It is kept by the site's hosting provider only for as long as strictly necessary for the security and operation of the service.
– Visitor statistics. We count visits and page views in aggregate form, without profiling you, using the WordPress.com statistics service (Jetpack Stats), on the basis of our legitimate interest in understanding how the site is used.
– Replying to messages sent through the Contact form. Legal basis: responding to your request (Art. 6(1)(b)). We keep messages for 12 months from our last exchange.
– Preparing a proposal for the use of the spaces and organising the event. Legal basis: pre-contractual measures and contract (Art. 6(1)(b)). If no agreement follows, we keep the request for 12 months; if a contract follows, for 10 years, as required by civil and tax law.
– Keeping track of the requests we receive. If you write to us through the Contact or «Host your event» forms, your name and email are also saved in our contact list on Mailchimp, with a tag showing which form you used. You will not receive the newsletter unless you sign up. Legal basis: responding to your request and our legitimate interest in handling requests in an orderly way (Art. 6(1)(b) and 6(1)(f)). We keep these contacts for the same periods stated above.
– Sending you the newsletter. Legal basis: your consent (Art. 6(1)(a)), which you can withdraw at any time using the link in every email. We keep your address for as long as you remain subscribed.
– Remembering and demonstrating your cookie choices. Legal basis: legal obligation (Art. 6(1)(c)). Duration: see the Cookie policy.
– Complying with legal obligations and defending our rights, for the period required by law.
Providing data in the forms is optional, but without the required fields we cannot reply. We do not make decisions based solely on automated processing and we do not carry out profiling.
4. Who we share your data with
Your data is processed by authorised and trained Open Event srl staff. We are supported by a few providers acting as data processors (Art. 28 GDPR):
– Automattic Inc. (WordPress.com and Jetpack): hosts and protects the site, stores the messages sent through the forms and provides visitor statistics;
– Aruba S.p.A., our email service provider, which receives and stores the emails sent through the forms;
– Intuit Inc. – Mailchimp, which manages the contact and subscriber list and sends the newsletter;
– Elementor Ltd., which provides the cookie banner and keeps the record of choices;
– whoever provides technical maintenance of the site.
If a request turns into an event, the necessary data (for example name, email and company) may also be shared with our administrative and tax advisers and with the suppliers working on the event, such as caterers and technicians, only as far as needed to organise it. Your data is never sold or made public.
5. Transfers outside the European Union
Some providers (Automattic and Intuit-Mailchimp) are based in the United States. Transfers take place under the EU-US Data Privacy Framework, for providers that participate in it, or under the standard contractual clauses approved by the European Commission. Elementor Ltd. is based in Israel, a country recognised by the European Commission as providing an adequate level of protection.
6. Links to other websites and Google Maps
The site contains links to external websites: ticketing and event registration platforms, artists' websites, Instagram, Facebook, LinkedIn and Google Maps. These links do not pass on any data until you open them; once you do, those websites' own privacy notices apply.
Google Maps. On the Contact page, the Google Maps map only loads if you click «Show the Google map». From that moment Google (Google Ireland Ltd and Google LLC) receives some data, such as your IP address, and may set its own cookies. Google's rules apply (policies.google.com/privacy). Until you click, nothing is sent to Google.
7. Your rights
At any time you can ask us to access your data and receive a copy, correct it, erase it where we are not required by law to keep it, restrict its use, receive it in a machine-readable format, object to processing based on our legitimate interest, and withdraw your consent, without affecting anything done before.
Write to info@bastardini.eu: we will reply within one month.
If you believe your data is not being processed correctly, you can lodge a complaint with the Italian Data Protection Authority, the Garante per la protezione dei dati personali (www.garanteprivacy.it).
